Job description

The Secretary will be the first point of contact for students, parents, visitors, and partners. The role requires strong communication, confidentiality, attention to detail, and the ability to keep office operations organised while supporting the consultancy team.

Basic requirements
  • Diploma or certificate in Secretarial Studies, Office Administration, Business Administration, Front Office Operations, Customer Service, or a related field.
  • Good spoken and written English; Kiswahili communication is an added advantage.
  • Strong computer skills including email, Microsoft Word, Excel, Google Workspace, and basic document handling.
  • Professional appearance, good interpersonal skills, and a calm client-service attitude.
  • Ability to organise records, follow instructions, manage time, and handle multiple tasks.
  • Previous front-office, reception, administrative, or customer service experience is an added advantage.
  • High level of integrity, confidentiality, and attention to detail.
Responsibilities
  • Welcome clients and visitors professionally and direct them to the appropriate consultant or service desk.
  • Handle phone calls, WhatsApp inquiries, emails, and walk-in inquiries with accuracy and courtesy.
  • Schedule consultations, interviews, follow-ups, and office appointments.
  • Maintain client records, inquiry logs, application files, and administrative documents.
  • Support document collection, scanning, filing, and basic application checklist follow-up.
  • Prepare simple correspondence, appointment confirmations, and internal office notices.
  • Coordinate office supplies, front-office cleanliness, and daily administrative readiness.
  • Maintain confidentiality of student, parent, staff, and company information.
